Assisting You to Interpret Your Reports 

This is our second instalment of the guide, we hope this will aid you in understanding the payroll reports and enable you to obtain the most information possible from them.

It is important to note that the company used to generate these reports is fictitious and purely a test company so some of the figures in the reports will appear to be incorrect.
Please disregard the actual figures in the guide; it is the format of the reports that is important. Our aim is for you to become more familiar with them.

“Summary Pay Register”

The Summary Pay Register gives an overall summary for the pay period. More detail for each individual employee can be found in the Payroll Register.

A) Company name, pay group or frequency, pay run type (main or manual), and period end date

B) Printing date and time stamp

C) Ordinary Hours and Overtime Hours – ordinary hours includes annual leave, sick leave, alternative leave, and ACC payments

D) Taxable and Non-Taxable Payments – includes allowances, but not benefits

E) Gross Pay – includes payment for hours and allowances, before tax

F) PAYE, Student Loan, and Child Support – tax payments separated into PAYE, student loan, and child support

G) Deductions and Non-Taxable Deductions – includes KiwiSaver deduction

H) Net Pay – total amount to be paid to employee

  I) Totals for company

This report can be sorted by employee surname (default) or employee code.
It can be grouped and filtered by costing (division, cost centre, or department), and with page breaks between costing(s), if required.

Using this highly-developed online system, Datacom is keeping your payroll and payroll needs up with the 21st century. Utilising DataHelp will mean you, the customer, will never receive obsolete advice or information, as the site will be updated continually. Release notes of the latest system upgrades will also be published in DataHelp.

Datacom’s development team has enhanced our reporting system on DataPay with the ability to report multiple companies on the same report through the “Report Builder”. 

This feature is available at Company Level for company level pay run reports. This is ideal if you have multiple “Children” (sub) companies to be reported along with the “Parent” (main) company. The idea is to allow you have to ability to mitigate the amount of paper used in your organisation. 

A button to the right of the company name can be used to select more companies.

Once the companies you want to be included in the report have been selected, their “Pay Components” will be listed in “Entities” under the “Company Reports” column.

From here it is just a matter of “Designing” your report in the “Report Builder” as you would normally.
